MGR Human Resources Ltd, member of MAP S.Platis Group, is a leading, broad HR Consulting, Training, Recruitment and Temporary Placements Agency. We are currently seeking to recruit a Management Systems Administrator for the European Union Agency for Asylum to be based in Malta (Headquarters).

The position

The successful candidate will work on a secondment basis for the awarded contract for the Provision of Interim Services to the European Union Agency for Asylum (EUAA). EUAA is an EU Regulatory Agency headquartered in Malta whose mandate is to strengthen EU Member States’ practical cooperation on asylum, to support Member States whose asylum systems are under particular pressure and to enhance the implementation of the Common European Asylum System.

Responsibilities:

  • Support and contribute to designing and implementing management systems in areas such as quality management, business continuity management and environmental management in line with standards agreed by the Agency’s management
  • Support and contribute to drafting and checking of management system-required documentation, to system performance measurement and monitoring, and to data collection and analysis
  • Support and contribute to maintaining effective control of management system-related documents with, amongst others, the required version, approval and distribution controls, and electronic filing and tracking
  • Support and contribute to the drafting and/or quality reviewing of governance and procedural documents (including internal legal decisions, standard operating procedures, guidelines and internal standards)
  • Support and contribute to defining, implementing and tracking improvement actions, and provide support during independent audits
  • Perform any other tasks in the interest of the service, relevant for the specific profile

 Essential criteria:

  • Previous experience of at least 5 years in quality, environmental and/or business continuity management
  • Thorough knowledge of English (level C1 in all dimensions as per the Common European Framework of Reference for Languages or CEFRL)
  • Computer literacy, including MS Office suite, use of internet and web-based applications
  • Professional experience related to tasks described under Responsibilities
  • Analytical and problem-solving skills
  • Attention to detail and accuracy

 Advantageous criteria:

  • University degree in sciences (life, physical, formal or applied), engineering, management, public administration or field related to the responsibilities
  • Relevant post-graduate degree will be considered an asset
  • Experience in designing and/or implementing management systems
  • Experience in control and quality assurance of management system-related documentation
  • Ability to work in a team but also independently, where required
  • Good communication and interpersonal skills
  • Past work experience within EU institutions or bodies or in a multicultural environment

Minimum Education:

  • Completed university studies of at least three years attested by a diploma
  • Completed training courses on ISO standards or equivalent (e.g., EMAS, CAF, EFQM, BSI) relating to quality management systems, environmental management systems and/or business continuity management systems

Remuneration

The position falls in hierarchical Category IV and the associated salary is €40,963.92 gross annually in twelve monthly installments.
