Finance & Administration Officer - Asia

Location:

Based in Islamabad, Pakistan, with business travel on a need basis (Overseas travel should be expected for up to 30% of time)

MAGENTA’s Asia team operate across South, East and Central Asia on a range of projects that include research, strategy development, SBC intervention implementation, and evaluation. This is an early career position and we are looking for highly organised individuals who are quick learners and who enjoy playing a supporting and facilitating role to ensure that projects are implemented efficiently and in compliance with MAGENTA’s finance and admin procedures. A successful candidate will also be driven by a keen desire to deliver social impact.

RESPONSIBILITIES

The Finance & Admin Officer will be leading on all Admin tasks for the Asia team, supporting other departments also as required.

People and Culture

·       Recruitment - full lifecycle of recruitment of new staff

·       Onboarding – Contracting, deployment and onboarding of new staff.

·       Management of offboarding of Staff

·       Robust implementation of People and Culture policies and systems

Procurement

·       Support and track procurement requests in line with procurement policy

·       Promote excellent value for money with all purchases

·       Maintain the vendor and contract databases ensuring information is upto date.

·       Risk manage vendor agreements through advice to contract Approvers.

·       Robust management of Procurement policies and systems

Administration

·       Support the travel process, including travel budgeting, flight booking, accommodation booking, creating travel information forms, visas etc.

·       Support on ensuring adequate security of team members while traveling, through effective liaison with security providers

·       Other appropriate administrative requirements as the request of the Team leads.

·       Maintain Records of Company Assets

Growth

·       Support in operational requirements of proposal development. Including filling out supporting documents, identifying local partners and securing teaming agreements

Finance

·       Conduct monthly project financial reconciliations with team leads.

·       Assist Finance Controller in collection and recording of financial transactions related to the Asia region in MAGENTA’s ERP system and reconciliation of spending on MAGENTA’s projects.

REQUIREMENTS

Education:

·       Relevant degree from a top tier university required; Masters preferred 

Experience:

·       1-2 years professional experience;

·       Some experience with office management, customer service or administration;

·       Highly organized and thrives in a customer service role

·       Prior experience in Finance, Accounting, Logistics, Procurement or HR preferred;

·       Ability to work effectively, respectfully and successfully with governments, clients, partners and other stakeholders in complex settings; 

·       Excellent written and spoken English is required and Dari, Pashto and/or Russian is a plus.

·       Technological and software fluency, include Office 365.
