Job Title:                                             Security and Operations Associate

Overview:  

The ideal candidate will support the Program Management and Business Development functions at IBTCI. The successful candidate will work as part of a team supporting field offices and corporate headquarters. Must be fluent in English language, both oral and written, have good liaison skills and full proficiency in MS Office suite including Word and PowerPoint. Excellent communications and interpersonal skills are required. Prior work experience in International Development is a plus. This position will be based primarily in our Headquarters in Vienna, Virginia. The Program Associate practice area could change based on company discretion.
Responsibilities

 Operations

  • Coordinate the registration for new projects, including identifying appropriate legal firms and government branches with which the process must be conducted.
  • Maintain contact with lawyers in country regarding all necessary procedures and processes to remain compliant with local laws.
  • Coordinate tax registration and compliance for new projects, including identifying sources and agencies in country required to comply with legislation.
  • Participate in project proposal and mobilization efforts to include identification of required inventory such as satellite phones, accounts and billing.
  • Partner with staff and consultants in understanding the process of applying for and procuring visas in the different countries in which IBTCI operates.
  • Facilitate the authentication of corporate documents and serve as the focal point for ensuring all necessary documents are in line with local requirements in country.
  • Conduct research to identify office spaces for local projects.
  • Maintain all leases for offices.
  • Monitor database of field office and key personnel residence locations abroad.

Security

  • Format and edit security documents including inserts for corporate policy documents.
  • Conduct research to produce assessments and analysis on regions and countries IBTCI is working in or plans to work in.
  • Produce country and city studies and security plans.
  • Conduct threat and risk analyses of IBTCI areas of operations.
  • Provide global and country security updates.
  • Monitor IBTCI’s Sicuro IMS online platform in order to collect active intelligence threats and security updates.
  • Organize and coordinate security meetings and briefings.
  • Interface with consultants to ensure they have all the necessary background information (country report(s), IBTCI security procedures and policies, briefing guide, etc.)
  • Partner with field staff to ensure they have evacuation insurance, secure pick-up at the airport, lodging, medical information, emergency contact information and that they understand/abide by IBTCI policies.
  • Organize communication with field office staff with regard to security across IBTCI projects.
  • Collaborate with the Security team to organize briefings, trainings and general schedule.
  • Other duties as assigned.

  • Excellent communication and interpersonal skills.
  • Ability to handle multiple tasks under tight deadlines.
  • Previous global travel experience preferred.
  • Prior work experience in International Development a plus.

Qualifications

Minimum Requirements:

  • At least 1 year of work professional experience.
  • Excellent writing, research and organizational ability.
  • Demonstrated strict attention to detail.
  • Full proficiency in Microsoft Office, particularly Word, Excel and Powerpoint required.
  • Oral and written fluency in English required

Preferred Knowledge, Skills and Abilities:

  • Ability to effectively collect, synthesize and present information from diverse sources.
  • Excellent communication and interpersonal skills.
  • Ability to handle multiple tasks under tight deadlines.
  • Previous global travel experience preferred.
  • Prior work experience in International Development a plus.

Education:

  • Bachelor’s degree in International Affairs, Security, Terrorism, Intelligence or other relevant field.

Working Environment:  Work is performed in a typical corporate office environment.

Physical Requirements:  This is largely a sedentary position that requires the ability to speak, hear, see, and lift small objects up to 20 lbs.

Travel:  International travel possible and may include travel to fragile and/conflict-prone zones.

Work Authorization:  Candidate must be authorized to work in the U.S.A.  Visa sponsorship is not available for this position.
