Position Description

EnCompass LLC is seeking a Senior Learning and Event Manager to lead, manage, and provide oversight for event design, management, and logistics for the Designing Effective eVidence-based Engagement and Learning for Organizational Performance (DEVELOP) project.

The DEVELOP project is designed to support the Center for Education in strengthening its organizational capacity to lead in the education sector. The project has four overarching objectives: (1) Strengthen organizational culture and operations, (2) Increase core competencies and leadership development, (3) Improve knowledge use among technical practitioners, and (4) Effectively communicate USAID’s work. DEVELOP also has buy-in windows, which are accessible from any OU, Center or Hub in the Bureau for Inclusive Growth, Partnerships, and Innovation (IPI) as a whole or connected via Education. This means that inter-agency initiatives can also connect to the DEVELOP mechanism through these other units. DEVELOP performs high-quality organizational development services, which include, but are not limited to strategic planning, organizational design, change management, culture, team effectiveness and other OD interventions based on articulated need.

The Senior Learning and Events Manager will be responsible for supporting the design of and leading planning processes for in-person, hybrid, and virtual events on the project.

This is a full-time position located at the EnCompass principal office in Silver Spring, Maryland, and follows the EnCompass flexible hybrid work model with split time between telework and the office. This individual may also be expected to work from client sites in the Washington, DC metro area, as needed.

Candidates residing in the DC metro area will be given first consideration. Remote applicants might be considered, but only if candidate resides in a state where EnCompass is currently registered.

Position Duties and Responsibilities

Essential functions:

Administration:

  • Based on the nature of the event, support or lead on objective-setting, agenda and run of show development, working closely with USAID to align on priorities.
  • Convene and facilitate planning meetings, providing agendas in advance, keeping minutes, and following up with action items.
  • Manage stakeholder relationships, including technical counterparts at USAID and vendor relationships.
  • Manage participant processes, including but not limited to event registration, communication and knowledge management needs.
  • Lead in the planning and implementation of operational and technological requirements (e.g., platforms, systems, hybrid, production) that are determined or recommended for events.
  • Works with and coordinates with DEVELOP Technical and project management leads to ensure overall coordination and execution of the event.
  • Provide systematic and frequent updates to counterparts at USAID regarding timelines, milestones, deliverables, and logistics.
  • Lead onsite logistics and tactical coordination planning of conferences and other learning events, providing day-to-day operations guidance, real-time tactical troubleshooting, and adequate personnel support for event management.
  • Lead coordination of hybrid event planning and production including managing A/V needs, liaising with production team, and recommending processes for a hybrid event based on USAID request.
  • Additional duties, as required for the success of this activity.

Qualifications

Academic Qualifications

  • Minimum of a Bachelor’s degree and 6 years of experience or a Master’s degree and 4 years of experience in organizational development, adult education, professional development curriculum design, international development, business administration or related field

Experience and Skills

  • Large conference planning and event management, including in-person, hybrid, and virtual events. Experience with USAID-specific conference management, including working with international audiences, is preferred (or peer bilateral/multilateral institutions).
  • Strong project management skills and ability to help clients move through event planning steps and processes quickly and efficiently.
  • Experience engaging with and leading a variety of stakeholders with varying technical expertise and perspectives.
  • Experience successfully leading and implementing high visibility projects, in a complex environment with multiple tasks from ideation through implementation.
  • Vendor coordination and management experience including, but not limited to, onsite A/V, transportation, catering, security, venues with plenary and breakout rooms, and accommodations.
  • Experience working on branding and marking and liaising needs to a communications team for large conference events, preferably with USAID.
  • Participant management experience, handling participant inquiry, streamlining logistics with user experience in mind, participant-first mindset, and efficiency-focused approach.
  • Experience managing both in-person, remote, and hybrid large conferences or events, management of a hybrid event required.
  • Technologically savvy with experience using tools and platforms that support planning, task tracking, reporting, and timeline management.
  • Ability to bring a Diversity, Equity, and Inclusion lens and gender equality and social inclusion lens to ensure all logistics are accessible and inclusive
  • Able to work in a fast-paced environment with demonstrated ability to juggle and prioritize multiple, competing tasks and demands and to seek supervisory assistance as appropriate
  • Ability to work in a language other than English preferred

The pay range for this role allows for the wide variety of factors that are considered in making compensation decisions including, but not limited to skill sets, experience and training, certifications, and other business and organizational needs. At EnCompass, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $100,000 to $105,000.
