Description

Positioning and reporting

Based in Bangkok, Thailand. Under the direct supervision of Sub-Regional Representative for South-East Asia.

Job purpose

The Administrative Assistant provides and support the daily administrative running of the office, coordinating with project team and external parties to guarantee the smooth coordination of activities. He/she contributes to the coordination of the information flow within the team and provides guidance on administrative processes.  He/she will provide support in the financial/accounting processes as well as the visa issues. The Administrative officer is also in charge of providing logistical support to the organisation, and coordination of meetings and/or events managed by the office.

Missions and activities

-          Provide administrative and clerical support to the technical staff.

-          Filing, scanning, archiving, and maintenance office database in the SharePoint.

-          Draft, format, proofread, prioritise and archive, incoming and outgoing correspondences and other communications.

-          Support the preparations for virtual and physical workshops and meetings, both local and international.

-          Prepare the travel arrangement for the official missions of staff.

-          Manage and coordinate the purchasing of the stationary supplies and stock for the office.

-          Support visa and work permit management for expatriate staff, including going to the immigration office if needed.Support the Finance Officer in the processing of vouchers and records office expenditures.

-          Support in the financial/accounting processes, registering and keying expenses in WOAH financial applications.

Qualification and experience

-          A Bachelor’s or undergraduate degree relevant to the job;

-          At least 3 years of professional experience of administrative assistance.

 

Requirements

Technical skills

-          Excellent command of English and Thai, both written and spoken;

-          Strong computer skills in a Microsoft environment (Word, Excel, SharePoint, PowerPoint, and Outlook), Internet, and office technology equipment and software;

-          Experience in using interactive tools such as Zoom, Mentimeter (or equivalent...);

-          Experienced in international travel arrangements (ticket reservation, Thai visa and work permit processing) is an asset.

-          Accuracy and attention to details;

-          Willingness and ability to work in a multi-cultural environment;

-          Proven effective organisational skills and ability to handle work in an efficient and timely manner, defining priorities and meeting deadlines;

-          Strong interest and autonomy in learning new/evolving IT and interactive tools/methods; 

-          Capacity to work autonomously and to take ownership of tasks.

Working conditions

Based at the WOAH Sub-Regional Representative for South-East Asia in Bangkok, Thailand.

– Type of contract: WOAH Staff;
– Duration: 2 years renewable;
– Location: WOAH Sub-Regional Representative for South-East Asia in Bangkok, Thailand;– Salary: Monthly gross: 35,000 to 38,000 Baht per month (commensurate with qualifications and experience);
25 days annual leave;
Relocation allowance (eligibility for allowances depend on the staff member’s specific circumstances);
The position to be filled is offered on a full-time basis only (39 hours of work per week);
– Overseas travel abroad is expected occasionally.
