Position Description

EnCompass LLC is seeking a Practice Area Coordinator to provide administrative support for the technical needs of the TA/Eval practice area. We are looking for someone who is highly organized, detail-oriented, proactive, can coordinate multiple tasks and assignments simultaneously for a dynamic technical team working on Monitoring, Evaluation, and Learning programs. The individual will also provide administrative support for practice level communication and knowledge management needs.

This is a full-time position located at the EnCompass principal office in Silver Spring, Maryland, and follows the EnCompass flexible hybrid work model with split time between telework and the office.

Position Duties and Responsibilities

Essential functions:

Technical:

  • Provides day-to-day support to practice area leadership, including scheduling meetings and providing notetaking as needed.

  • Coordinates technical inputs and preparation for monthly TA/Eval meetings including liaising with technical staff presenting to ensure inputs are received on time, setting and sharing meeting agendas, taking notes during meetings, uploading technical documents and presentations, among other tasks, as assigned

  • Manages practice area communication processes

  • Coordinates logistics and procures materials for practice area in person meetings and events.

  • Supports MEL Director to coordinate MEL platform Community of Practice activities including scheduling meetings, managing membership, managing knowledge in shared spaces, taking notes, sharing relevant documents, among other assigned tasks

  • Supports Knowledge Management (KM) champion and other technical staff/teams to centralize technical practices and deliverables for practice wide use.

  • Assists with the development, formatting, and editing of technical products (including guidance documents, communication materials, among others)

  • Updates technical document templates and guidance to comply with new client requirements

  • Supports preparation of technical presentations, planning for thought leadership opportunities, and positioning at conferences and events

  • Serves as a liaison with Communications team members to coordinate all communications related activities for the practice area including preparing materials for staff.

  • Leads quarterly and annual collection of technical deliverables, supports technical team members in thought leadership engagements and publications, and centralizes photos for internal tracking and communication products.

  • Manages the updates to practice area skills trackers and technical team resources and lists

  • Provides surge technical support to project teams, when needed.

Other:

  • Engage fully as a member of the EnCompass staff team, including participating in staff meetings and other EnCompass events, and providing administrative support to other team members as needed

  • Other duties as assigned

Position Requirements

Qualifications

Academic Qualifications

  • Minimum of a High School diploma and seven years of additional experience; Associate’s degree and five years of additional experience; Bachelor’s degree and three years of additional experience; Master’s degree and one year of additional experience

Experience and Skills

Required:

  • Ability to work under pressure and manage competing priorities and deadlines

  • Ability to work within defined standard operating procedures and adhere to quality guidelines

  • Attention to detail, accuracy, and strong time management skills

  • Strong verbal and written English language skills; highly skilled at writing and editing documents

  • Excellent computer skills in Microsoft Word, Excel, PowerPoint;

  • Interest in international development

  • Strong teamwork and interpersonal skills

  • Ability to work independently and collaboratively as needed

Preferred:

  • International experience (professional, study abroad, etc.) highly desirable

  • MEL related experience highly desirable

  • Experience in the administration and coordination of projects highly desirable

  • Experience with communications and graphic design is an asset

  • Familiarity with SharePoint and Teams preferred

  • Fluency in language(s) other than English highly desirable

Estimated Starting Pay Range:

The pay range for this role allows for the wide variety of factors that are considered in making compensation decisions including, but not limited to skill sets, experience and training, certifications, and other business and organizational needs. At EnCompass, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $61,500 - $72,000
