Job Title : Human Resources Manager
Based at : Downtown Edmonton
Reports to : Executive Director
Hours of work : 40 hours per week, Monday to Friday 8 am to 4 pm

Job Description
The Human Resources Manager operates under support services and acts as a liaison between management and other employees within the company. Their duties will involve managing the HR team, managing activities such as job descriptions, recruitment, employee relations, performance management, training & development, and talent management. In addition, it is their responsibility to ensure the mission and vision of Hope Mission is incorporated throughout the organization.
Duties & Responsibilities
Recruitment & Onboarding
Establish a recruitment and interview program and counsel managers on candidate selection when needed.
Post all necessary job postings and screen applicants to send to the department for second interview. Delegate this process within the HR team when needed.
Identify new ways to increase the number of applications
Ensure the onboarding process is completed within the HR team for all new hires
Help departments identify where there is a need to hire, and ensure budget allows in coordination with Finance department
Maintain the work structure by updating job requirements and job descriptions for all positions
Focus on employee retention to prevent employee turnover
Workers’ compensation board (WCB)
Delegate the management of WCB within the HR team, and act as a support when needed
Ensure all departments are aware of WCB and the importance of submitting documents. Make certain that WCB claims are submitted on time to prevent late penalties
Conduct training on the WCB processes when there is a need
Make sure the HR team is supported when there is a difficult case that requires additional resources
Attend WCB meetings when needed
Training & Staff Development
Delegate training tasks within the HR team to ensure training needs are met within the organization
Actively identify training needs and incorporate training and development programs for employees to help increase productivity, employee satisfaction, and employee retention
Ensure the organization provides trainings for staff that are required for their positions
Administrative tasks
Approve and sign off on all, transfers, pay increases, personal information changes, promotions, new hires, terminations, etc. and ensure the HR team is entering and sending to Finance for final processing
Complete any reporting requested by the Executive Director, and any other manager that may require it
Ensure documents being used within the organization are being improved to create the best overall communication
Sign off on employment verifications and contracts
Manage the HR email address, as well as other email’s if necessary
Ensure employee files are kept up to date within the HR team
Delegate any administrative tasks appropriately within the HR team
Timekeeping
In coordination with the Finance director, continue implementing the timekeeping software and ensure managers and administrative staff are using it properly to minimize mistakes
Delegate within the HR team entitlement management (vacation time, sick time, overtime, etc) and send out monthly reports to all senior managers with staff balances
Ensure overtime is earned and used properly and report any misuse to the manager of the respective department
Follow up with managers when their staff balances get too high as per what policy allows. Work with the manager and put together a vacation plan so the employee can start decreasing their balance
Ensure sick balances are being used for legitimate purposes only
Determine compassionate and bereavement leave eligibility on a case by case basis in coordination with the Director of Finance
Approve the HR team’s time off requests and timesheets every month
Staff Benefits & Compensation
Delegate within the HR team management of staff events and benefits
Ensure management of Manulife health and dental benefits is completed within the HR team
Delegate RRSP tracking within the HR team
Identify where there is a need for staff events to help aid in staff care and retention
Work closely with the Executive Director and the Director of Finance to develop an employee compensation plan
Assist the team when necessary
Policy & Procedure Compliance
Maintain and update the policies & procedures and ensure compliance
Keep the employee handbook up to date
Ensure all HR policies meet legal and ethical guidelines, and review and modify regularly
Occupation Health & Safety
Ensure the organization is following the standards for health and safety practices
Organize and implement OH&S meetings and make sure subcommittee meetings are taking place
Be involved in any OH&S audits when required
Be up to date on all things related to OH&S
Employment Standards
Stay up to date on Alberta employment standards and ensure it is being followed at all times
Ensure all staff demotions, terminations, layoffs, etc. are done in accordance with employment standards
Ensure disciplinary actions are all screened by HR before being presented to the employee to ensure they follow policy and employment standards
Update policies & procedures in accordance with employment standards as needed
Other Duties
Participate in weekly Senior Manager meetings held by the executive director
Occasionally required to travel to other locations within Alberta
Be available hours and on weekends on a case-by-case basis
Be available to support all other managers when needed
Attend and be involved in staff devotion and prayer time
Listen to/pray with staff as opportunities arise
Other duties as required/asked by the Executive Director
JOB QUALIFICATIONS
Bachelor’s Degree in business, with a focus on Human Resources or other related field
Five or more years of experience in an HR role is preferred.
Knowledge of Alberta Employment Standards
Proficient in Microsoft Excel, Work, and Sage HRMS
OTHER REQUIRMENTS
Experience in Administrative or Service area, or Social Services
Excellent time management, written and verbal communication skills.
Highly detail oriented with excellent organisation skills’
Ability to work under pressure

Able to provide Criminal Record Check and Vulnerable Sector Search
A letter of reference from a ministry or church is an asset
