JOB SUMMARY

The Procurement and Warehousing Officer will play a vital role in ensuring the efficient managing the processes in the supply chain department, storage, and distribution of vaccines within the organization. This position involves managing vendor relationships, ensuring compliance with procurement policies, and maintaining proper documentation. The role also includes overseeing cold chain storage, conducting inventory audits, and ensuring safety standards are met in the warehouse. Additionally, the officer will coordinate with the program team logistics to guarantee timely and safe receiving and delivery of vaccines to PHC centers in the RATAA area, maintaining the cold chain throughout distribution.

MAIN DUTIES AND RESPONSIBILITIES

Procurement

Vendor Management:

Identify, assess, and onboard local suppliers, ensuring compliance with organizational standards.

Facilitate tender processes, RFQs in all procurement thresholds, and supplier negotiations.

Compliance and Documentation:

Ensure all procurement adheres to donor and organizational policies.

Prepare contracts and purchase orders and ensure complete documentation is duly archived for auditing.

Collaboration:

Work in the logistics and collaborate with health teams to forecast vaccine requirements and plan procurement schedules.

Communicate effectively with internal and external stakeholders to meet project timelines.

Warehousing and Inventory Management

Cold Chain Oversight:

Ensure storage facilities comply with vaccine cold chain requirements.

Monitor and document temperature conditions to maintain vaccine efficacy.

Inventory Control:

Conduct regular stock counts and audits to prevent discrepancies.

Maintain accurate records in the inventory management system.

Safety and Standards:

Enforce warehousing safety standards, including proper handling and segregation of vaccines.

Distribution

Logistics Planning:

Develop distribution schedules and routes to ensure timely delivery to PHC centers.

Continuous roving between Ras al-Ain and Tal Abyad areas.

Coordinate transportation arrangements to maintain the cold chain during transit.

Tracking and Reporting:

Track shipments and provide regular updates on distribution progress.

Prepare reports on vaccine deliveries and inventory status for stakeholders.

Any other tasks assigned by the line manager.

QUALIFICATIONS AND SKILLS

Education:

Bachelor’s degree in supply chain management, Logistics, Business Administration, or a related field.

Experience:Minimum of 2 years in procurement and logistics within the humanitarian sector.

Experience with vaccine or cold chain management is highly desirable.

Skills:

Proficiency in inventory management systems.

Strong analytical, organizational, and communication skills.

Ability to work under pressure and in conflict-affected settings.
