The Role
The Project Coordinator will be based in Manilla and responsible, among other things, for the following tasks:
- Maintain and update relevant project information in paper and/or electronic files, including but not limited to schedule of activities, progress reports and correspondence;
- Consult the various stakeholders involved in the management of activities on strategic and administrative issues related to the project;
- Contribute to the development, planning, analysis, evaluation and prioritization of deliverables, documents and requirements;
- Assist in reporting on the achievements and results of technical specialists;
- Assist in the coordination and preparation of documentation in response to planned and unplanned reports, feedback and observations to inform stakeholder senior management of project status;
- Coordinate and follow-up on requests for technical specialist support by prioritizing, assessing urgency and setting timelines;
- Coordinate efforts to review/learn from the project and share this information with the project team and stakeholders, as appropriate;
- Coordinate logistics, such as vehicle rentals, travel and assignments for technical specialists, contractors and third parties, as appropriate;
- Advise on documentation requirements of local authorities/governments;
- Engage/cooperate with stakeholders and address issues in a timely and effective manner;
- Provide stakeholders with updates, as appropriate;
- Establish/maintain recall systems and other follow-up mechanisms for action to be taken;
- Search for and find contextual information, analyze it, extract relevant information and write summaries;
- Promote and study best practices to expand knowledge on local development and development strategies;
- Coordinate, draft and prepare for signature the project’s official documents and reports;
- Keep informed of local laws, regulations and practices, and comply with it, including those relating to local human resources management and affecting the use of local technical specialists and their ability to carry out their activities in the programming area.
Required qualifications:
- A degree in political science, law, international development, economics, finance, business administration, project management, social sciences, engineering or applied sciences.
- Minimum of 10 years experience as a Project Coordinator on donor funded projects.
- Experience as a Project Coordinator on at least 2 projects, and experience with a budget of 5,000,000 CA or more.
- The Project Coordinator must have experience in Philippines
- Maintain and update relevant project information in paper and/or electronic files (this may include, but is not limited to, activity schedules, progress reports and correspondence);
- Contribute to the development, planning, analysis, evaluation and prioritization of deliverables, documents and requirements;
- Coordinate and follow-up on requests for technical specialist support by prioritizing, assessing urgency and setting timelines;
- Coordinate logistics services, such as vehicle rental, travel and missions for technical specialists, subcontractors and third parties;
- Dialogue/cooperate with stakeholders and address issues in a timely and effective manner
- Advise on documentation requirements of local authorities/governments.
