We have an exciting opportunity for an Office Manager with experience in compliance, governance and operations to join OPM Germany, which was established in 2019 as one of the newest offices of Oxford Policy Management (OPM).

You will be part of a growing office within a world-class international development consulting firm, which seeks to bring about lasting positive change using analytical and practical policy expertise. The office manager is a key role for this small, collaborative and supportive team to support and encourage the new growth and function of this burgeoning facility. The role touches almost every aspect of the business, and lends itself to set the tone and culture of the organisation.

This is a role for someone excited by the opportunity to blend key operational areas such as governance, compliance, financial management, HR and general office duties. We are a small team, part of a large international, world-class organisation . The role would suit someone with a flexible work style that helps enable the team to successfully deliver their goals. Motivated and passionate about making our office work more efficiently, our ideal candidate will bring established experience as an office manager and will provide fresh ideas and experience to the operational, administrative and logistics side of our office.

This is an exciting time to join OPM as we have recently expanded into Germany and are looking for new opportunities to broaden our impact within and between our country offices. Key objectives of this role will include: ensuring the office is run efficiently; providing support to the Country Director, in conjunction with the Legal and Financial Teams; supporting the review, development and implementation of financial procedures and policies for OPM Europe Office; and managing and reporting on OPM Europe’s financial systems and processes. 

Day to day duties will involve (not exhaustive):

Operations:  

  • Support to communications across the OPM group of companies, ensuring the adherence to compliance and internal processes
  • Monitor, maintain and improve office systems, equipment and office supplies
  • Ensure all health and safety procedures are in place and up to date
  • Undertake any general administrative duties as reasonably required by the line manager.

Financial management: 

  • Review, develop and implement strong office financial procedures and controls, in compliance with OPM Oxford policies and guidelines.
  • Monitor status of advances and expenses accounts to ensure that payments/expenditure reporting are up to date.
  • Oversee the preparation of monthly cashbooks, journals, cash requests, bank reconciliation of all bank accounts, budgets and other monthly financial reports for OPM Europe, reporting to OPM Oxford as per reporting schedules.
  • Coordinate timely completion of annual company audits.
  • Be available to provide support to the finance team in coding invoices/payment vouchers and inputting them into the financial system, along with handling of foreign expenses cash claims from traveling staff.

 

Successful candidates will be able to display the following essential qualifications, skills, knowledge and experience: 

  • As a minimum, an undergraduate degree (Bachelor) or equivalent professional training (Ausbildung) in relevant field (business management, administration, operations)
  • Demonstrable professional experience in a similar role.
  • The pre-existing right to work in Germany (at time of recruitment)
  • Excellent communication skills in German (native speaker level) and English (OPM´s main working language).
  • Strong organisational skills.
  • Proactive, assertive and action oriented.
  • Excellent interpersonal skills
  • Able to establish and maintain positive working relationships both internally and externally with colleagues, partners and clients with a different cultural and professional background.
  • Able to be flexible, versatile and tolerant in a changing work environment whilst maintaining effectiveness
  • Numerate with a high level of attention to detail.
  • Advanced level of MS Office, in particular Excel, Power Point, Outlook.

The following criteria are desirable but not essential: 

  • Previous experience working with international consulting groups.
  • Previous experience with accounting software and CRM systems.
  • Previous knowledge or strong interest in the international development sector.
