ORGANIZATIONAL OVERVIEW
NYCMedics is a New York-based global disaster relief and health organization, specializing in the deployment of highly trained and motivated clinical and global health professionals in the wake of natural disasters and complex emergencies. Founded in 2006 in response to the devastating Southeast Asia Earthquake, NYCMedics has repeatedly and consistently been among the first to respond to large-scale international disasters.
Recognizing the need for improved prehospital care and a greater number of trained professionals in many of the areas we have worked, NYCMedics expanded programming to include prehospital health systems development. This program focuses on strengthening national capacity and developing the infrastructure of local Emergency Medical Systems with the aim of increasing access, availability and the quality of essential lifesaving services.
POSITION DESCRIPTION
As the Logistics Officer, you will be an intricate part of the project team tasked with developing and scaling up capacity of the entire prehospital care system in Aden, Yemen. We are looking for a hands-on, proactive, task-oriented Logistics Officer to manage humanitarian logistics operations.
ESSENTIAL DUTIES AND RESPONSIBILITIES
PROCUREMENT
Ensure timely procurement, customs clearance and delivery of supplies and equipment
Coordinate the procurement cycle with all stakeholders including drafting RFPs/RFQs, bid analysis and evaluation, vendor selection, drafting contracts, ensuring contract deliverables, ground and air transportation, and distribution of inventory for the timely delivery of project objectives.
Manage tracking & reconciliation between orders and address and troubleshoot issues at any stage in the procurement process.
Guarantee compliance of the supplier selection and procurement processes with donor rules and regulations and MIRO policies; maintain all related documentation per MIRO guidelines.
Ensure timely detailed reports are prepared and analyzed
Support and strengthen country office protocols as necessary for effective logistical and supply chain management
Build the sourcing capacity in the country and in the region, and maintain a supplier database accordingly.
Work closely across MIRO programs and finance for all logistics operations and actively participate in coordination meetings by reporting on progress, and risks.
Enforce a zero-tolerance policy regarding corruption and ensure adherence to MIRO Code of Conduct and Anti-Fraud policy.
Contribute to work plans and other deliverables, as required
INVENTORY
Receive orders, ensure quality and quantity and enter into inventory; maintain all documentation
Responsible for ensuring and maintaining stock at all times reporting loss or damage immediately
Conduct a physical inventory of all stock on a weekly basis; maintain accurate documentation
Submit weekly and monthly stock reports, indicating minimum stock levels to ensure proper planning of stock replenishment
Track all supplies and equipment in transit through its receipt, storage, and onward distribution
Identify, report, and anticipate supply chain risks affecting program activities
Fulfill stock requests in a timely and accurate manner
Ensure a safe and sanitary working environment; the warehouse is clean, organized, and free of pests at all times
Report and ensure timely correction of warehouse maintenance issues
QUALIFICATIONS
Bachelors or Master’s Degree in a related field; certificate in humanitarian logistics, supply chain management, or procurement preferred
3 - 5 years of experience in humanitarian logistics, supply chain management, and procurement with a proven history of program management experience
Strong diplomatic and interpersonal skills and the ability to work with partners, vendors, and government officials at all levels
Strong organizational skills, with the ability to multi-task and prioritize workload effectively
Task-oriented with attention to detail and the ability to complete projects on time
Proactive with the ability to troubleshoot issues in real-time
Knowledge in Humanitarian Principles
Oral and written fluency in Arabic and English
Must be able to keep matters strictly confidential
Strong working knowledge of Microsoft Word, Excel, and PowerPoint
