Publications Coordinator
Positioning and reporting  

Under the authority of the Head of the Science Department, and the direct supervision of the Head of the Publications Unit, and in close cooperation with other members of the Publications Unit.
Job purpose  

The Publications Coordinator will coordinate and perform editorial and administrative tasks necessary to the production of WOAH publications. They will be involved in editorial projects at all stages of the publication process, from conception to completion, from receiving submissions from authors through to preparing files for handover to printing and archival staff. By editing content and managing schedules, they will help to ensure publications are delivered on time with the expected quality level. In addition, the publications coordinator will assist the HoU in implementing the publications strategy by researching and proposing innovative technical solutions for WOAH publications and enhancing internal guidelines and processes.
Missions and activities  

Editorial coordination:
– Participate in the production of WOAH’s flagship publications, from issue conception to publishing (liaise with coordinators/authors/referees/Head of the Publications Unit/external consultants; propose and follow schedules; copy editing/revising; follow in-house style guide; check final proofs);
– Coordinate the production of ad-hoc- and co-publications in collaboration with the Head of Unit and Production Editor (liaise with colleagues, partners and service providers; propose and follow schedules; copy editing/revising; follow in-house style guide; check final proofs).

Administrative support:
– Process permissions and copyright requests;Launch tenders for external service providers, in compliance with procurement procedures;
– Manage purchase orders/estimates and tally against invoices;Manage publications request form and inbox;
– Liaise internally and externally on the indexation and archiving of digital assets.

Participate in implementing the publications strategy:
– Research and propose technical solutions to ensure the impact of WOAH publications (publications platform, workflow, metrics, etc.);
– Research revise, review and consolidate internal publishing guidelines and processes.

Other:
Help to oversee the rollout of new publishing tools and resources;Manage any other tasks as assigned by the Head of the Publications Unit.  
Qualifications and Experience
– A Bachelor’s  degree (or equivalent)  in  publishing,  English,  literature,  linguistics,  journalism  or  another  relevant field;
– At least 3 years of professional experience in publishing, preferably in scientific publishing.  

Technical skills
– English as a first language;
– Good knowledge of French and/or Spanish;Excellent writing, editing and proofreading skills;
– Keen sense of observation, attention to detail and accuracy;Good knowledge of Word (e.g. templates, styles, macros) as well as PowerPoint and Excel (for editing figures and graphs);
– Proactivity, and a results-oriented approach;
– Organised, with a proven ability to work to deadlines.  

Additional technical skills (asset):
– Knowledge of WordPress, Mail Chimp, Adobe InDesign, Illustrator, Photoshop;Knowledge of Reference Management Software (Endnote, Mendeley, Zotero) and digital publishing tools (Polaris OS, ePub software…)  

Interpersonal skills
– Strong communication skills;
– Capable of working as part of a team;
– Ability to establish and maintain good working relationships in a multinational and multicultural environment;
– Diplomacy when liaising with authors and other external contributors.
Working conditions  
– Type of contract: Fixed-term contract
– Duration: 2 years renewable
– Location: WOAH Headquarters 12 rue de prony 75017 Paris, France
– Salary: From 2300 € net per month commensurate with qualifications and experience), exempt of French income tax + annual performance bonus.
The post is a full-time position based at the WOAH Headquarters in Paris. It requires long hours in a seated position at a computer.
