Functional responsibilities
Under the supervision of the Head of TLO and/or his/her designate, the Operation Officer will be responsible for:
Research and portfolio management
Research, review and prepare information and documents for the works of the TLO, including information materials on UNOPS projects, procurement and market trends, as required.
Review, edit and translate documents assigned by the supervisor.
Assist the portfolio management to ensure a quality standard of service provision, troubleshoot across portfolios to meet donor requirements.
Support the development of engagements and report submission.
Administrative support
Assist in managing the timely and efficient delivery of administrative services for the TLO, including payment processes and asset management for the office.
Assist in drafting and reviewing internal and external reports and publications.
Assist in preparing, editing and managing information materials such as booklets, fact sheets and other documents.
Support organization of meetings, missions and events, including logistics and preparation of briefing materials.
Perform other related duties as required.
Communications and knowledge management
Support maintenance of the TLO website and X (former Twitter) account as well as other outreach and knowledge management initiatives for the TLO.
Education/Experience/Language requirements
Education:
Work Experience
A minimum of 4 years of progressively responsible experience in partner or client relationships, business development, project/programme management and/or market analysis is required with a first level university degree.
Ability to work with computer and office software packages (e.g. Google Suite) and knowledge of spreadsheet and database packages
Field experience or experience in developing countries is considered an asset;
Preferably prior knowledge of working with a UN organization;
Experience with international organizations or public institutions is considered an asset.
Languages
Fluency in both written and spoken English is required.
Fluency in both written and spoken Japanese is required.
Fluency in other UN languages, in particular Spanish and French, is an asset.
