Position Description

EnCompass LLC is seeking candidates for an Events and Convenings Manager, GHTASC to join the Global Health Training, Advisory, and Support Contract (GHTASC) team.

EnCompass is responsible for implementing the learning and organizational development (LOD) aspects of GHTASC, and reports to the prime contractor Credence Management Solutions. The purpose of Workforce Development is to strengthen USAID health sector staff capacity to lead and manage health programs by providing resources, sharing knowledge, building capacity, and maximizing learning opportunities.

The Events and Convenings Manager serves as the focal point for all aspects of retreats, meetings, trainings, and larger conference planning and ensures the application of high-quality standards for in-person, virtual, and hybrid events.

This is a full-time position located at the EnCompass principal office in Silver Spring, Maryland, and follows the EnCompass flexible hybrid work model with split time between telework and the office. This individual may also be expected to work from client sites in the Washington, DC metro area, as needed.

Must be legally authorized to work in the US for any employer without sponsorship for a work visa or permit.

Position Duties and Responsibilities

Essential functions:

  • Leads all aspects of planning and managing events including securing an in-person site or virtual platform, inviting, and communicating with USAID stakeholders and participants, monitoring RSVPs, preparing materials, and coordinating all logistics before, during and after the activity

  • Generates reports on analytics for engagement, mailing list/audience growth, in coordination with colleagues

  • Manages the USAID/GH/PDMS/LOD contact lists by periodically updating the lists with new contacts from events

  • Collaborate with others on procurement and contracting of service providers and suppliers

  • Coordinate services for in-person, virtual, and hybrid events, such as facilities/platform, accommodation and transportation for participants, catering, signage and displays, A/V needs, accessibility requirements, and event security

  • Manage onsite logistics and tactical coordination planning of events, providing day-to-day operations guidance, real-time troubleshooting, coordinating personnel support for event management, and emceeing events as needed

  • Oversees documentation of events (e.g., minutes or notes), prepares after action reviews and reports and share information with clients

  • Contributes expertise and innovative methodologies and approaches to reaching broader audiences

  • Develops and maintains positive and productive relationships with all project stakeholders

  • Works effectively with GHTASC team members, embraces participatory approaches and strengthens team capacity

Other:

  • Engage fully as a member of the EnCompass staff team, including participating in staff meetings and other EnCompass events, and providing support to other team members as needed

  • Other duties as assigned

Position Requirements

Qualifications

Academic Qualifications

  • Minimum of a High School diploma and 10 years of experience; or Associate’s degree and 8 years; or a Bachelor’s degree and 6 years; or a Master’s degree and 4 years

  • Degree in Event Management, Business Administration, Training, International Development, or a related field if held

Experience and Skills

  • Minimum of two years of experience in conference planning and event management, including in-person, hybrid, and virtual events; experience with USAID- conference management, including working with international audiences, is preferred

  • Participant management experience, handling participant inquiry, streamlining logistics with user experience in mind, participant-first mindset, and efficiency-focused approach

  • Technologically savvy with experience using tools and platforms that support planning, task tracking, reporting, and timeline management

  • Vendor coordination and management experience including, but not limited to, onsite A/V, transportation, catering, security, venues with plenary and breakout rooms, and accommodations.

  • Adept at identifying and framing problems, setting priorities, and making critical assessments

  • Exceptional presentation, communication (verbal and written), and presentation skills with a dynamic, engaging facilitation style

  • Proficient in Google Meet and other Google Workspace applications, Zoom, WebEx, as well as Microsoft 365

  • Experience working in cross-cultural environments

  • Commitment to providing the highest level of service

  • Ability to work in a fast-paced environment with demonstrated ability to juggle and prioritize multiple, competing tasks and demands and to seek supervisory assistance as appropriate

Estimated Starting Pay Range:

The pay range for this role allows for the wide variety of factors that are considered in making compensation decisions including, but not limited to skill sets, experience and training, certifications, and other business and organizational needs. At EnCompass, it is not typical for an individual to be hired at or near the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case. A reasonable estimate of the current range is $74,500 - $88,000.
