Description

The Global Green Growth Institute (GGGI) is a treaty-based international, inter-governmental organization dedicated to supporting and promoting strong, inclusive and sustainable economic growth in developing countries and emerging economies. To learn more please visit about GGGI web page.

TIMETABLE
This assignment is expected to start by 22nd April, 2025 and for duration of 9 months up to 31st December 2025. This will be a framework contract, so in case GGGI is satisfied, and budgets allow, the contract can be extended up to 24 months. After the 36 months GGGI will reconsider the arrangement.
The consultant will be required to have at least two scheduled office visits per month on Tuesday mornings before 12:00 , which may include nationally declared non-working holidays. Additional visits may be requested by the GGGI. GGGI and the consultant will agree on the schedule on a three-monthly basis, if the Consultant is not available at the required day/time, then the consultant will give GGGI sufficient notice.
The Consultant may also be requested to offer virtual support. The capacity to provide 24 hours/7 days service solution especially after office hour will be highly considered.
The IT Team of GGGI based in Seoul, Korea will provide induction and support where needed and possible. Consultant needs to consider the time difference however (2 hours).
The Consultant is expected as mentioned twice a month in the GGGI office
Please note that there is no reimbursement of travel costs.

Back-Up System

-        Ensure that all GGGI’s staff members are using SharePoint according to country program needs. This task will include the development of a standardized way of arranging and naming documents in Sharepoint that will be approved by CR and explained to all staff.

-        Ensure that any work document being stored in PCs to avoid running out of space in SharePoint is backed up regularly in cloud (OneDrive)

-        Ensure that copies of existing GGGI important data on the user's computer are baked up in SharePoint

-        Ensure that SharePoint documents are backed up in a hard drive storage once a month.

-        Support the synchronizing and use of SharePoint among GGGI Staff Members as well as explaining where necessary Microsoft Teams and its synchronizing. Experience with Microsoft teams events organizing is a plus.

Optimization System Setup

Ensure existing systems and equipment such as laptop, printer, local area network and internet, projectors. etc., are setup according to GGGI IT rules and requirements, and support setup, review, and stability testing of hardware and software.

Basic preventative maintenance to IT equipment, both hardware and software systems. Ensure safety and security of all computerized data, information, files and documents.

Update existing systems according GGGI requirements, and to conduct stability testing for hardware and software.

Internet service management

Operation, maintain and optimize the office internet services by ensuring a fast and reliable connection that can always meet the organizational needs. This will include communicating with the Internet Consultant (ISP) to ensure the high quality of service, following up on internet service SLA and escalation matrix as needed.

Servicing and routine check ups

Perform weekly office visits to assess the status of user machines and fix any arising incidents and provide reports thereof. 

Recommend maintenance service for hardware based on need.

Provision of additional services is a plus.

Re-build System/Factory

Reset, build and reorganize the system and/or conduct factory after analysing the problem and reset in case the system is damaged by accidental factors, data corruption, hardware malfunction.

Training and Coaching

 

Providing briefs and consultations to the staff, so they can operate the computers according to the operating procedure in good and right manners.

Quarterly presentation sessions on IT to cover topics relevant to GGGI's goals and address the general needs of the majority of staff.

Virus clean up and Anti-Virus Update

Execute the Update Definition File Anti-Virus to enhance computer protection against both new and old viruses. Additionally, conduct thorough virus scanning and cleaning procedures to ensure the security and integrity of the computer systems.

Technical Consultation

 

Provide consulting, analysis and advice in a professional manner for all things related to IT. This service will be provided both physically and remotely.

Offer remote assistance to the team based in Pakse and Vang Vieng as needed.

Technical Liaison

 

Provide support and guidance for administrative interactions with diverse IT equipment vendors, facilitating procurement processes and addressing unforeseen tasks related to IT and network issues as they arise.

Take in charge the formatting/configuration of the new laptops and other IT equipment bought by GGGI.

Engagement and collaboration with GGGI partners as needed for IT or digital requirements, including the development of IT specifications, provision of training, and support where applicable.

PAYMENT SCHEDULE
GGGI shall pay the Consultant on a monthly basis for the actual number of days worked in a calendar month, subject to the terms and conditions of the Contract and certification by GGGI that the services have been satisfactorily performed. The Consultant shall submit a monthly invoice at the beginning of each month for the previous month's work, using the provided template. A timesheet must accompany the invoice for payment. 

QUALIFICATIONS
Relevant higher education degree (ITC university degree, a related MSc. Would be preferred), with significant professional experience. 

REQUIREMENTS
A proven track record of relevant work in IT corporate departments or IT external support for clients (IT consulting support) for at least 5 years.
consistently and reliably managing financial aspects of programs or projects and organizational operations and processes, based on strong solving problem, analytical thinking and continuous improvement skills
Good communication skills to provide /share necessary IT support and related key information.
Excellent Lao language knowledge and good English writing and speaking skills are required.
Flexible approach to tasks given.
