INTRODUCTION TO GGGI

Objectives of the assignment

To achieve the project objectives, GGGI is looking for Documentation Consultant who will be responsible for organizing, verifying, and maintaining comprehensive records of all project activities. This includes ensuring that all documentation is systematically compiled, validated, and archived in alignment with the project’s results framework, as well as donor and organizational requirements for effective reporting.

Deliverables and Payment schedule

  • Monitoring, Evaluation & Learning (MEL) and Documentation

- Align all project documentation with the MEL framework and indicator tracking system.

- Compile and organize evidence (e.g., photos, attendance sheets, reports) to support indicator-based reporting.

- Identify and address documentation gaps by coordinating with field teams and technical staff.

- Maintain and regularly update a documentation checklist and indicator tracking matrix.

- Support the preparation of internal and donor reports by consolidating validated documentation.

  • Documentation and Records Management

- Structure and maintain documentation systems that map deliverables and results to indicators in Sharepoint.

- Ensure all project deliverables (e.g., reports, contracts, activity records) are properly labeled, dated, and stored in the designated digital repository (e.g., SharePoint).

- Provide quality assurance for documentation completeness and consistency across project activities.

  • Information Management Systems and Capacity Building

- Develop and improve tools and templates for consistent data and document management.

- Enhance digital filing and tracking systems to support efficient information retrieval, cross-referencing and reporting.

- Train project staff on documentation protocols, digital file management, and use of MEL tools.

Expertise required 

  • Education: Information management, M&E, Development Studies, or a related field.
  • Experience: Minimum of 5 years of relevant experience in information management, M&E / MEL, project management, preferably within international development or donor-funded projects.

- Experience supporting MEL systems is highly desirable.

- Familiarity with forestry, environmental, or rural development projects is an asset.

  • Communication: Excellent communication, negotiation, and interpersonal skills to collaborate effectively with project teams, Addis Ababa Office, partners, and headquarters.
  • Organizational Skills: Strong organizational skills, attention to detail, and the ability to meet deadlines under pressure.
  • Interpersonal Skills: Strong interpersonal and communication skills; ability to coordinate across diverse teams.
  • Language: Fluency in English (spoken and written)
