 PRINTING SERVICES SOLUTION

 Introduction
The Pacific Islands Forum Secretariat (PIFS) is seeking to improve its printing service solution and implementation of document management system which includes archiving and digitization from reputable vendors.

Content of Tender Submissions

The Pacific Islands Forum Secretariat (PIFS) is seeking to improve its printing service solution and implementation of document management system which includes archiving and digitization from reputable vendors.

The vendor must bid for all items listed in (a). All proposals will include knowledge transfer, mentoring and working with the PIFS staff. All vendors are expected to make a presentation on their bids on request within 2 working days.

The services are expected to be delivered within 1 month after being awarded.

 a)   Propose and Supply of a Printing Solution for the following:

            i.)   Lower the cost of operations;

            ii.)  Digitize using a Document Management Solution; and

            iii.) Efficient billing system of users and programs.

b.)   The Secretariat reserves the right to:

           i.)    Withdraw or cancel any or all items listed above;

           ii.)   Is not bound to accept the lowest or any tender and reserves the right to award the service provider at its sole discretion and convenience without assigning any reasons; and

           iii.)  Accept or reject any proposal without thereby incurring any liability to the affect Bidder.

 Eligibility Criteria 

  1. Have at least two engineers with current certification for this job;
  2. Be registered with Registrar of Companies and must possess a valid business license;
  3. Documentary evidence must be provided;
  4. Have a valid TIN Registration Number and documentary evidence for the same is to be provided;
  5. At least provide three corporate organisations as referees for the supply of similar services and contact details for referees must be provided;

  f.   Should also provide the following:

  g.  Declaration that their company is financially solvent signed off by the CEO of the company;

             i.)   A bank letter to prove the company is financial solvent;

             ii.)  Provide a copy of the company profile; and

  h.  Must have single fully functional contact Support Centre with 24 X 7 support.

Response by Vendor: 

  1. Scope of works covered under the project;
  2. Solution proposed must include any and/or extra works that may be done in order to successfully complete the project;
  3. The vendor’s submission must include a full project time schedule;
  4. The vendor’s submission must state in full, all costs associated with the project;
  5. The vendor must submit the names of the Project engineers who will be tasked with this project. For each engineer involved in the installation and configuration the vendor must submit a copy of the engineer’s certification;
  6. As part of the vendors response to this RFT the vendor must include a list of 3 corporate sites where the vendor’s proposed project engineers have worked on a similar project;
  7. The soft copy of the submission must be in MS Office Word format or PDF; and
  8. Vendors are expected to make a presentation on their bids on request within 2 working days.
