Background

SoCha, LLC is preparing a response to the Request for Task Order Proposals for the Monitoring, Reporting, and Capacity Strengthening Contract for the Sahel (MRCS). This award will mainly support USAID/Sahel Regional Office (SRO) in Niger and Burkina Faso, and provide limited assistance to Mauritania, Chad, and The Gambia.

This mechanism will advance USAID/SRO’s commitment to program effectiveness across all sectors, and to make informed strategic and management decisions. The MRCS will primarily work in Burkina Faso and Niger to carry out third party monitoring (TPM) in predominantly insecure areas and provide outputs and outcomes verification, conduct  evaluations/studies/ assessments, support stakeholders to have functioning M&E working groups at country level and capacity strengthening specifically in monitoring and evaluation (M&E) of appropriate offices/structures of the Governments of Niger and Burkina Faso (GoN and GoBF), as well as sub-national state institutions, local civil society organizations, community-based organizations, and implementing partners.

The Administrative Assistants are responsible for smooth administrative operations of the project offices.

Scope of Work

  • Support the finance, operations and technical teams as required.
  • Support operations and technical teams by scanning documents and providing copies in a timely manner.
  • Maintain project files and assist with office management.
  • Information Management –maintain office filing systems; maintain library resources; take, prepare, and distribute minutes from meetings. 
  • Meeting, Travel, and Schedule Management – assist the Logistician and HR Manager.
  • Support procurement actions of office supplies and materials.
  • Provide welcoming environment to visitors to the project office, as the first point of contact.
  • Communications Management – Handle calls, mail, and electronic communications; compose and type correspondence; and interface as appropriate to parties passing through or using the project office.  
  • Route messages and information to appropriate individuals, paying particular attention to channeling communications to other project offices.
  • Manage couriers and deliveries to the office in a timely manner.
  • Oversee bookings of office space and arrange for related needs

Qualifications

  • Bachelor’s degree is preferred.
  • Fluent in both English and French (speaking and writing). 
  • Strong communication and interpersonal skills, and the ability to work effectively in a team environment.
  • Excellent coordination skills with attention to detail, accuracy, and timeliness
  • A minimum of (2) years of relevant experience working on donor-funded projects in a related administrative role, preferably USAID projects.
  • Excellent working knowledge of MS Word and Excel.
  • Familiarity with USAID policies and procedures.
  • Demonstrated initiative and self-motivation in performing assigned tasks.
