The Role
The Registration & Program Coordinator will maintain, support, and administer registration systems (applicant / student management systems, learning management systems) and associated capability development activities. The role will also provide technical support and analytics to users and key stakeholders across the organization.

The position is in the Regional Office, Fiji, with possibility of travel to other Pacific Australia Skills country offices when required.

The position will report to the Manager Academic Services and provides support and services to the program staff in other country locations.

Roles and Responsibilities

  • Provide advice and lead implementation of the systems at a regional level to ensure robust registration systems are operational and accessible to relevant staff.
  • Ensure relevant systems capabilities to handle required application registration and processing, capture student enrolment and completion data in liaison with selected registered training organisations.
  • ·Provide technical support, respond, and resolve issues regarding all aspects of the systems including user issues, content delivery, design, and development issues.
  • Support the development of courses and course related information within the learning management system, ensuring that course structures and instructor-led offerings respond to organisational needs, and align with program goals.
  • Ensure the ongoing stable operation, and oversee future developments, of the program’s student related systems.
  • Ensure data integrity and adherence to governance processes for systems and services and provide analytics from systems databases to support Monitoring, Evaluation and Learning (MEL) requirements by generating required reports.
  • Work to maintain a ‘quality assurance’ process that incorporates trialling (as appropriate); training; feedback; responses to feedback; and a quality review cycle for testing of all resources.
  • Design and develop user manuals and presentations for staff orientation sessions and information sessions as required, including training sessions for staff on new resources, tools, processes and scheduling of support services programs.
  • Undertake research on commercial training materials, resources and products as required including online products.
  • Other related activities as assigned by manager.

Selection Criteria

Essential Experience and Knowledge

  • Tertiary qualifications in Management Information Systems (MIS) with at least 2 years of industry experience or at least 5 years relevant industry experience in a similar role.
  • Proven experience managing Learning Management Systems (LMS) (preferably Moodle) and other Student Management Systems (SMS).
  • High level conceptual and analytical skills and the demonstrated capacity to develop innovative solutions in LMS and SMS configuration and administration.
  • Demonstrated experience in developing business processes and policies to meet the needs of the organisation.
  • Demonstrated commitment to the provision of high level, quality and customer focused services.
  • Demonstrated experience presenting to all levels of employees and the ability to conduct training and information sessions as required.
  • Ability to manage competing priorities, work under pressure and meet deadlines as well as high level of verbal and written communication skills.
  • Demonstrated ability to produce complex documentation or reports as well as an advanced knowledge of Microsoft Excel with the ability to analyse and manipulate data using pivot tables.

Desirable Experience

  • Experience in technical skills training and assessment.
  • Previous experience with LMS and SMS.
  • Demonstrated knowledge of software used in the production of training and educational resources.
  • Work experience in an aid funded project, preferably that is linked to the Australian Government.
