Temporary Senior Subgrants Assistant

The NDI Subgrants Department issues and monitors subgrants granted to international NGOs and U.S.-based organizations. NDI monitors the subgrantees to ensure that they are in compliance with NDI donor regulations. The Subgrants Accountant will play an important role in providing assistance to the Subgrants Department. Due to COVID-19, this position will start in a remote capacity. However, when the office re-opens, the position will be based in our Washington, DC office and the expectation is that the Subgrants Accountant will be based locally to fulfill this obligation.

Responsibilities:

  • Receive, store and review Subgrantees' financial report packages. Review receipts for allowability and appropriateness of expenses reported, and record expenses using Costpoint Accounting software, update Subgrants DataBase.
  • Communicate with subgrantees or NDI field offices regarding the results of the reviews. Follow up proactively and timely on resolution of questioned costs, return of unspent funds.
  • Send reminders and ensure timely submission of subgrants reports to NDI.
  • Review, process, and route subgrantees' payment requests for management approval.
  • Prepare documentation for external auditors during annual and donor-specific audits.
  • Perform subgrant closeouts.
  • Support the Senior Subgrants Administrators, as needed, to contribute to an efficient and effective management of the portfolios and a positive work environment.
  • Understand the applicable policies, procedures, controls, and authorization levels as they relate to Subgrants Assistant.
  • Assist with other duties as assigned.

Qualifications:

  • Bachelor's degree required; major in Accounting, Finance or Business Management & Administration preferred.
  • Minimum two (2) years of work experience in accounting or related administrative fields.
  • Previous experience with international nonprofit organizations is desirable.
  • High level of attention to details and accuracy in all aspects of work responsibilities and excellent organizational skills.
  • Good English writing skills.
  • Excellent interpersonal skills to effectively interact with all levels of staff and subgrantees; positive and professional attitude.
  • Ability to use effective strategies and tactics for accomplishing assigned duties, meeting deadlines, and multi-task.
  • Working knowledge of word processing and excel spreadsheet applications.
  • Knowledge of a foreign language is a plus.
