Job Description

A Finance Manager is one of the key forces behind this passion, and we are currently seeking a team member who will play an essential role in increasing the impact and sustainability of a growing nonprofit organization, driven by feminist values.
As a member of the Senior Management Team, the Finance Manager, reporting directly to the Executive Director, is responsible for the oversight of accounting processes, consulting on financial decisions, and internal and external financial reporting.
Working collaboratively with the respective leadership team the Finance Manager develops annual and capital budgets, coordinates and provides financial information, procurement support, and guidance.
The Finance Manager provides strong leadership along with the development and implementation of appropriate policies and procedures and ensures internal services are consistent, timely, and appropriate to support the objectives of the Society.
Responsibilities
In cooperation with the Executive Director, provides guidance on a complete range of business management, budgeting, and financial matters.
Manages banking relationships, credit cards, and investment products, and ensures documents and agency needs are met effectively.
Develops and implements financial administration and control policies, standards, procedures, practices, and systems for the Society, consistent with Board-approved directives.
Ensures financial recording accuracy and compliance with Generally Accepted Accounting Principles (GAAP) and established internal controls and procedures.
Investigates and follows up to discuss, correct, or report unusual or questionable entries or account balances.
Codes, records, and posts transactions in the journal and the general ledger, including complex transactions such as lease, amortization, and major asset acquisitions.
Analyzes and produces trial balances, reconciles balance sheet accounts; makes adjustments as necessary.
Monitors and analyzes cash flow, expenditures, journal and ledger entries, bank statements, account activity, and other accounting and financial records.
Monitors and oversees all bookkeeping records, including data entry for accounts payable and accounts receivable.
Makes recommendations to Executive Director with respect to financial matters.
Assists the Executive Director in annual yearly financial forecasting for program funding and grant submissions.
Produces annual and monthly budgets and cash flow projections, financial statements, and other financial reports required by the Executive Director, Board of Directors, regulatory bodies, and funders.
Assigns work, provides direction to clerical staff, and ensures that assigned tasks are completed.
Prepares documentation for audit purposes, including replacement reserve schedules.
With the Associate Executive Director, takes part in processing payroll, Municipal Pension Plan remittances, union dues, and year-end reporting.
Updates and balances the Rent Roll monthly and records any vacancy loss. Processes pre-authorized payment for tenants monthly.
Balances and reconciles all bank accounts (for 4 sets of books); discusses and resolves account discrepancies with bank staff; prepares monthly financial statements and comparisons to budgets.
With the assistance of the Executive Director, ensures all required financial reporting with respect to the contracts with the government agencies and funders are completed as necessary.
Prepares budgets for new and on-going contracts as needed.
Coordinates Finance Committee including, sets meetings, creates agenda, and takes meeting minutes as necessary.
Performs any other duties as required.
Required Knowledge, Skills, and Abilities
Strong organizational skills, and ability to prioritize effectively
Superb attention to detail and accuracy
Dynamic and action-orientated to meet deadlines and provide proactive strategies and solutions.
High degree of comfort with technology, including Windows OS, Microsoft suite and Adobe Acrobat
Familiarity with the following programs is a plus: accounting software – Xero and Dext, and payroll software – Payworks.
Strong understanding and demonstrated ability to work within Generally Accepted Accounting Principles (GAAP)
Excellent interpersonal, facilitation, and communication skills – written and oral
Demonstrated ability to work independently and as part of a team
Strong analytical, problem-solving, and decision-making skills
Ability to delegate, lead, manage and motivate staff.
Ability to work with information requiring a high level of confidentiality
High adaptation to change and growth
Education, Training, and Experience
A university degree or diploma in a related field (Accounting, Business Administration or equivalent)
At least five years of financial planning and control in the community social services sector with a demonstrated and in-depth working knowledge of non-profit community-based programs and services, applicable legislation, and policies.
Professional Canadian accounting designation (CPA) is a plus
Or an equivalent combination of education and experience.
