Overview of position:
We are looking for a proactive, detail oriented & highly organized HR Administration Assistant to support our global HR team. This dynamic, fast paced role offers the opportunity to make a significant impact across the entire employee lifecycle from recruitment to onboarding & beyond. The HR Administration Assistant will work alongside a talented team to create seamless & positive experiences for our candidates & employees across 25+ countries. The HR Administration Assistant will provide essential administrative support, ensuring efficiency, accuracy, an exceptional CTG candidate & employee experience.

Role objectives:
Talent acquisition support: Draft & publish job postings, assist with CV screening & shortlisting, coordinate assessments, interviews & maintain smooth communication with candidates.
Onboarding: Prepare & issue contracts, guide new hires through onboarding & upon joining the organisation provide newcomers with essential information about CTG policies, CTG systems, contract terms & conditions.
Visa & relocation management: Assist with visa arrangements for international employees, ensuring smooth mobility & relocation processes.
Training & workshop support: Organize, coordinate training sessions, workshops, ensuring smooth logistics & participant engagement. Track & ensure completion of mandatory training & certifications across multiple countries.
Performance management: Help monitor performance review processes, ensure timely completion & assist with the issuance of employment related letters when required.
Data & reporting: Keep employee records updated, maintain staffing lists, organizational charts & prepare HR data reports for internal & external stakeholders.
Payroll support: Assist with payroll processes to ensure accurate & timely payroll delivery.
Pay reviews: Prepare documentation for annual pay reviews, ensuring accuracy & alignment with company standards.
HR policy reinforcement: Help reinforce, ensure compliance with HR policies & rules, ensuring consistency across the organization.

Project reporting:
This role is reporting to the HR Manager.

Key competencies:
University degree in business management, social sciences, human resources, law, psychology or any related field with 3 - 5 years in HR administration or a similar role, with experience supporting various HR functions.
Fluent in English (written & verbal).
Proficiency in MS Office (Excel, Word, PowerPoint).
Familiarity with reporting tools like Tableau or Power BI is a plus & with HR online management systems.
Strong written & verbal communication skills.
Highly organized with great attention to detail, able to manage multiple tasks efficiently in a fast paced environment.
Proactive, passionate about providing excellent support to candidates & employees, always maintaining a positive, service oriented attitude.
Comfortable working in an international environment, with the ability to manage HR tasks across different cultures & time zones.
Eager to learn, take initiative, continuously improve HR processes & systems.

Team management:
This role does not have any team management responsibility.
