Job Description

We are looking for an experienced Management Assistant to help us keep making this impact. If you are enthusiastic, hardworking and dedicated then you are a good match for our organisation. As the Management Assistant you are at the very heart of the organisation and it’s crucial to have a smooth coordination with CFO and Global Heads of Departments. The Management Assistant facilitates and provides secretarial support to the activities of the Managing Director Business/CFO and a number of Global Heads of departments. It also includes facility and office management of the office in The Hague. Seamless coordination with the Management Assistant to the CEO, and back-up for each other, is crucial.  
Responsibilities include full secretarial support, internal communication of management requests, obtaining information within the SNV organisation, correspondence screening and preparation of correspondence, logistical activities like preparation and facilitation of meetings or retreats, and the daily oversight of the facilities and office.

The Management Assistant will be working on a range of activities, as outlined below:

  • Correspondence

Prepares, formalises, sends, and files both external and internal letters, reports, e-mails and bulletins, based on agreements and instructions of the managers. Controls, distribute and files documents for the manager and/or the team, maintains the filing system, in line with archiving procedures.

  • Communication

Receives and dispatches incoming calls and e-mails and drafts outgoing e-mails. Answers basic questions or transfer them to the relevant person, in line with communication guidelines and agreements with the manager.

  • Agenda

Plans appointments and coordinates the agenda of the assigned managers and signals bottlenecks in planning and suggests solutions. Maintains and manages action list(s). Coordinates travel arrangements and visa (if applicable) in consultation with logistic support, organises local transport, visa application, conform procedures and in line with agreements with the managers. Maintains contacts with suppliers.

  • Meetings

Schedules, organises and coordinates meetings (e.g. team meetings, workshops, events, interviews). Takes care of planning, announcements, agenda, availability of documentation and meeting rooms and travel arrangements and (if applicable) takes and distributes minutes.

  • Administration

Gathers relevant data and provides input to administrations and/or keeps basic administrations, based on administrative procedures and formats.

  • Facilities management

Act as main contact with Property Management company and suppliers, such as the corporate travel provider, cleaning company and support tendering processes. Ensure well-functioning of the office , including the coffee machine, office supplies, stock management, workspace management and emergency response support.

Qualifications

  • Minimum of 5-7 years of experience in a secretarial-and/or office management position ideally in dynamic office support function in internationally operating organisation or company with English as the main language
  • Higher vocational level (completed) in business administration, secretarial studies, office management studies, or any other relevant field.
  • Near-native level English and preferably Dutch and/or French.
  • Excellent written and verbal communication skills in English. 
  • Ability to work without direct supervision, following required procedures and guidelines and own judgement.
  • Excellent administration skills, able to organise own work and make follow-up on tasks as required.
  • Ability to carefully manage confidential information.
  • Flexible, dynamic, excellent interpersonal skills, able to relate effectively with a wide range of people, nationalities and cultures.  
  • Proficient computer skills - Must have ability to use Microsoft Word, Excel and Outlook to communicate, document and analyse data.
  • Excellent service skills in a fast-paced environment
  • Excellent organizational and multi-tasking skills, with good attention to detail.
  • Excellent communications skills, both written and verbal.
  • Eligible to work in the Netherlands. SNV cannot sponsor for a work visa.
